SMS & mobile surveys

Sending emails

You don't need to leave SurveyManager to set up distribution emails, logic-based email templates, notifications and personalised respondent reminders. Our software has an inbuilt email client - so powerful that some clients set up dummy survey projects just in order to reach large numbers of people with our customised emails.

Schedule invitation, reminder and thank you emails:

  • Invitation, reminder and thankyou emails are managed within SurveyManager
  • Email templates can be drafted and prescheduled for dispatch
  • Merge fields such as first name, surname or URL can be used to personalise emails
  • HTML emails can be fully formatted with graphics and full colour options - not just plain text, and
  • Emails can be sent with attachments.


SMS messaging

SurveyManager intelligently integrates SMS and email messaging such that a recipient can receive an invitation, reminder or thank you message by a combination of SMS or email according to user-set parameters and/or their response.

The SMS message system interfaces with a local SMS provider chosen for its high security and assurance that all SMS messages remain within Australia.

SurveyManager enables the creation of tailored SMS templates for invites, reminders, and other purposes.

The SMS service can be turned on/off at the Application group level and further down at each survey level. Message Media is a current provider for the SMS service.

A great way to reach parents.

There are few restrictions on the complexity of the design that a Smartphone questionnaire can have compared to a web only questionnaire. Users are able to design questionnaires, quizzes, polls, etc in three modes:

  • Desktop and tablets only
  • Smartphone only, eg, Apple iPhone, Android, Blackberry, Window Phones, etc
  • Hybrid, such that our software will auto detect which format to deliver to the respondent's device.

SurveyManager automatically detects the respondent's device and presents the appropriate web or mobile interface. As more people are using their mobile phones to read and send emails, it is likely our mobile phone feature will be useful to broadcast messages as well as collect data & responses by e-forms and surveys, respectively.

SurveyManager allows you to preview both web and mobile interface while you are designing a survey in the system. This shows you exactly how your survey is going to look like on a smartphone.

Survey types

There are several ways that participants can be given access to a survey, based on different survey types:


  1. Anonymous: anyone can answer it.
  2. Anonymous with return later password: a user can nominate a password and finish the survey in multiple sessions.
  3. Anonymous with login codes: anonymous survey with unique login code, used for external distribution.
  4. Anonymous with global survey access code: anonymous survey with global password.


  1. Invitational: respondent must be loaded into the system before they can proceed into the survey.
  2. Invitational: 360° feedback/multi-rater with self assessment. Multi-rater feedback that comes from members of a respondent's immediate circle. Often, 360-degree feedback will include direct feedback from a respondent's subordinates, peers, and supervisor(s), as well as a self-evaluation.

Survey and questionnaire design made simple

No programming by the user is needed to set up questionnaires in SurveyManager, be they simple or sophisticated.

At the same time the novice user can quickly become comfortable using the product, setting up a survey in a matter of hours.

At the same time, the product has advanced features for the power user which are available as needed.

The design of the survey tool allows users to set up and manage surveys of different types. Surveys can be configured in a number of ways and you can save as many different surveys as you like.

Survey and question library functions are an important feature of SurveyManager. You can:

  • Establish a survey library
  • Set up survey categories in the library
  • Add questions for the survey under each category
  • Build surveys combining categories
  • Copy and an existing survey for adaptation or reuse

Survey branding

Choose one of our many style sheets or modify one of ours or create your own, as well as add you school name and logo. Then store it in the SurveyManager library for future use.

SurveyManager offers several progress bars options to choose from. The status of survey completion can be based on either the number of questions answered or the number of sections completed.

Other things you can do:

  • The option for respondents to go to the previous page can be enabled/disabled.
  • A review option can be enabled for respondents to check or print answers at the end of a survey.
  • A print option can be enabled for respondents to print their answers at the end of a survey.
  • Sidebars can be used to display the questionnaire by sections.

Formatting & styles

Preview your questionnaire as it will appear in final rendering is available at the click of a button throughout the construction process.

You can customise the look and feel of their questionnaire to a high degree of detail or take advantage of a preset style gallery. There is full control over:

  • Question foreground/background colours
  • Boarders and shading
  • Light and shade grid pattern
  • RGB colours
  • Text formatting such as alignment, bolding, italics, underline, font type, size and colour
  • Column or row formatting of lists.

Graphics, logos can be inserted for branding or illustrations.

Links to other websites or files can be inserted.

Multilingual questionnaires

Surveys can be run in different languages, including right-to-left languages such as Arabic and all of the 273 Unicode languages.

The Unicode Standard is a character coding system designed to support the worldwide interchange, processing, and display of the written texts of the diverse languages and technical disciplines of the modern world. In addition, it supports classical and historical texts of many written languages.

Panels and communities

This is an advanced feature of SurveyManager. It allows schools to create , hold and manage groups of parents or other school stakeholders.

The SurveyManager panel management feature will allow you to:

  • Create and manage more than one panel
  • Create a registration page for panel membership allowing you to collect standard registration details as well as tailored registration questions asking anything you like
  • Associate questions with a particular panel (so that all data is connected to that panel)
  • Pre-populate questionnaires with answers to (the same) question(s) asked in past survey(s) or demographic details from panel registration – this allows the participant to update their details
  • Select survey candidates based on demographic data (age, gender, postcode etc) and/or particular answers to questions from previous surveys
  • Migrate panel member details and their answers to survey questions into a panel, and

It has specific panel management rules such as:

  • Selecting a frequency that you will allow panel members to participate between (to prevent burnout), and
  • Excluding participants if they have not responded to a set number of surveys.

Multi-rater/360° feedback

Survey Manager can manage the multiple relationships that are created by this type of survey.

Load employee names and emails directly from your payroll. One of the biggest administrative loads in multi-rater surveying is loading respondents and role relationships. Survey Manager comes with a self-loading respondent interface (really a mini-survey) so this workload is spread to individuals rather than the HR department.

Questions can be phrased differently for selves (subjects) versus others and Survey Manager keeps precise track of who has/has not done what and when in terms of giving feedback.
